Overview

The Senior Contract Coordinator position is responsible for the timely and accurate creation and processing of contract billing, in compliance with all Sharp Electronics policies and procedures.

Responsibilities

  • Ensure completeness and accuracy of maintenance contract documents including MICAS (meter automation) requirements and valid account contacts
  • Enter maintenance contracts in SAP and CRM while ensuring the proper recognition of revenue in accordance with Company policy
  • Upon contract set up or any subsequent update to the contract arrangement, the contract coordinator must ensure all contracts, amendments, addendums, and any other support documents/correspondence is stored in CRM for future reference.
  • Assists in Jsox and GRC (Governance, Risk and Compliance) audit reporting requests in a timely manner as required.
  • Reviews and maintains contract renewal/price escalation settings regularly to optimize automated escalations and contract evergreen.
  • Uses Mass Change tools available to minimize manual efforts.
  • Uses BW reporting to analyze various areas of contract population.
  • Processes contract terminations accurately and stores any documentation pertaining to the cancellation in CRM for future reference.
  • Tracking and timely reporting of contract billing status as per Billing Due List and Missing Meter Reports
  • Meter Automation administration to include coordination with Customer Experience Manager for installation of meter automation agents
  • Assist with administrative and operational functions and projects as requested by management 
  • Support Contract Administration Supervisor and/or Regional Contract Manager in organizing and motivating the contract team for common company/departmental goals
  • Run and analyze reports to identify deficiencies and work with leadership team to develop/communicate plans to remedy
  • Review and maintain relationships and inter-territorial arrangements with dealers in coordination with Customer Experience Manager.
  • Lease Portfolio Management and Meter Reporting
  • Work closely with Finance team in review and maintenance of AR Lease Residual functions.
  • Coordinate with Customer Service Reps regarding issues related to billing, customer inquiries as well as assisting RMS with Accounts Receivable issue resolution
  • Provide support for sales representatives with inquiries pertaining to customer contract billing, covered inventory, equipment usage, including providing support for Quarterly Business Reviews when the rep is unable to resource through Sales Force or Power BI.  
  • Collaborates with sales representatives to provide guidance in proper drafting of new contracts for signature and/or when modifying existing contracts, to ensure efficiency in contract set up/billing according to operating system limitations/designs.
  • Collaborates with sales representatives to provide support with new contract creation for promos or specials to ensure the contract is compliant with the intended program.
  • Provide training and support as a functional power user to other staff
  • Other duties as assigned.

Qualifications

  • 3-5 years of experience in a billing, administrative, or finance-related role, preferably within a sales organization.
  • Previous billing experience required
  • Highly detail oriented with exceptional organizational skills
  • Proficiency in Microsoft Office, with an emphasis on Excel
  • Superb written and oral communications skills
  • College degree preferred
  • Experience with SAP preferred

Compensation for this position

The compensation range for this role is $46,300.00 - $84,590.00. The listed salary range or contractual rate excludes bonuses, incentives, differential pay, and any other forms of compensation or benefits. The starting salary will be determined by several variables, including but not limited to experience, education, training, certification, and location. You may also be eligible to receive an annual discretionary incentive award, commissions, and program-specific awards, which are subject to the rules governing these programs.
